Further Enhancements to Guard Allocations
There are three further enhancements to Guard Allocations, specifically to make this function easier to use.

The first enhancement is the introduction of arrows to enable you to change the position of a shift pattern as it relates to a specific guard. Click on the left and right arrows in the Position column, and you will see how the patterns move left and right. The effect of this enhancement is that you no longer have to spend time determining the relevant position within the pattern. You can now do this visually (which is a lot simpler).

The other two enhancements relate to the Replacement and Swapping of guards. If you click on the pattern of a guard that you wish to replace or swap, then simply select either Replace or Swap, the system will prompt you for the replacement. Please note that the replacement will automatically take on the pattern, position and allowances of the guard being replaced.

All in all, the use of Guard Allocations to create your Master Schedule or Template will now be a lot easier.

Selecting shift categories

EasyRoster 5.5 now provides you with the facility to allocate a category to every shift type that you use. You may, for example, wish to allocate a category of ‘IOD’ to the shift type ‘Injured on Duty’. This enables you to handle the hours allocated to each shift type differently in your payroll system. In the past, you would have allocated the category ‘Paid Sick’ to the ‘Injured on Duty’ shift type. This would have meant that you would have exported hours for 'Sick Leave’ as well as ‘Injured on Duty’ under the transaction code for ‘Paid Sick’, which may have been a problem in the payroll system. This is however no longer a problem.

Please use the ‘File’/’Options’ functionality for Shifts to select the category for each type of shift. Double-click on each of the selected shift types in order to specify the applicable category.

Please note that you will have to create a new transaction in your payroll system for each newly select shift category as well. You will also be required to specify a payroll transaction code for each extra shift category on the EasyRoster export screen.

Extended Payslip and Pay Summary Reports

As a result of the fact that there are now more shift categories available, we have enhanced the Payslip and Pay Summary reports to be more specific with regard to hours worked per category.

Extended Payslip and Pay Summary Reports

There is an additional report which should be run as part of the scheduling process. Once you have scheduled for the next period, run this report to determine scheduled overtime as well as under-scheduling so that changes may be made to the schedule in order to ensure cost effectiveness.
